Mandap Hire Problems and How to Avoid Them

Updated 21 October 2026

Most mandap hire problems come from unclear agreements rather than bad suppliers: a design that differs from the photos, extras that were never priced, tight venue access, a structure that does not fit the room or deposit terms nobody read. Each one can be prevented with a few specific questions and written confirmation before you pay.

Why do mandap hire problems happen?

A mandap involves a supplier, a venue, a date, a design, a team and often a family with strong views. Many things must line up on a single day, and most of the stress comes from assumptions: you assume the stage is included, the supplier assumes you will arrange access, the venue assumes nobody needs electricity near the stage.

The fix is boring but effective: write everything down. Below are the most common issues and how to prevent each. If you are early in your planning, our mandap planning timeline shows when to do each check.

The design is not what you expected

Designs on any website, including ours, are shown as examples, and availability is confirmed at quote. Flowers, drapes and proportions can vary slightly between installations. Problems start when a couple expects an exact copy of a photograph that the supplier never promised.

  • Ask the supplier to confirm in writing which design, colours and flowers you are getting.
  • Ask whether the photo shows extras that are not part of the base price.
  • Ask for pictures of the same design in a venue similar to yours.
  • Agree in advance what happens if a specific item is unavailable.

If flowers matter, read our guide to fresh versus artificial flowers, because natural flowers vary by season and delivery, and they are always an optional upgrade.

Hidden extras and unclear inclusions

A low headline price can look different once extras are added. At the lowest prices, a stage, stage carpet, aisleway decor, aisleway carpet and entrance archways are usually optional extras, whereas in larger packages (above roughly £2,500) they are often included, depending on location. In package deals the ceremony furniture is typically included, but carpets and the entrance gate are quoted separately.

Our guide to what is included in mandap hire goes through this in detail. When you compare quotes, put the inclusions in a simple table and compare totals, not headline prices. The guide to how to compare mandap quotes shows how.

Venue access, timing and late delivery

A late start is one of the most stressful scenarios. Causes include a venue that is still hosting another event, restricted loading times, a lift that is too small, parking limits or a team that is delayed. Each can be reduced with early planning.

  • Ask the venue when the supplier may enter, which door to use and where to park.
  • Share the venue's rules with the supplier, including any limits on fixings or flames.
  • Agree a finish time for the mandap that leaves time for photographs and guest arrival.
  • Keep a mobile number for the supplier's team lead on the day.

Our guide to mandap setup and dismantle times explains how to build in a realistic buffer.

Ceiling height, space and weather

Indoors

A structure that is too tall or too wide for the room can force last-minute changes. Measure the ceiling, the stage area and any chandeliers or beams that might get in the way, then share the numbers with the supplier. Our guide to ceiling height, space and outdoor weddings lists what to check.

Outdoors

Wind, rain and soft ground matter outdoors. Ask how the structure is secured, what ground it needs, and what the plan is if conditions are poor. A design such as the floral drape outdoor mandap is shown as an example of an outdoor style, but the supplier must still confirm it suits your site. Also ask the venue for a wet-weather alternative.

Date mix-ups and unclear deposit terms

Check the date, the venue name and the address on every quote and confirmation. It sounds obvious, but a transposed date or an old venue name is easy to miss. Reply to confirmations promptly if anything looks wrong.

Deposit terms deserve a slow read. Look for the deposit amount, the balance due date, what happens if you change the date or design, and what happens if you cancel. Our guide on booking, lead times, deposits and changes explains the usual questions, and the booking FAQs cover more.

A prevention checklist

  1. Get a written quote naming the design, date, venue and every inclusion.
  2. Confirm access times, route and parking in writing with the venue and the supplier.
  3. Measure the room and share the figures.
  4. Agree a weather plan for outdoor ceremonies.
  5. Check the flower arrangements and any substitutions policy.
  6. Read the deposit, change and cancellation terms before paying.
  7. Send a one-page schedule to everyone a few weeks before the day.
  8. Name one family contact for the day so you are not handling calls.

What to do if something goes wrong

First, stay calm and let your named contact speak to the supplier on site. Describe the issue clearly, take photographs and ask what can be done now. Many problems, such as a drape hanging unevenly or a missing cushion, can be fixed in minutes if raised early.

After the wedding, if you still have a concern, write to the supplier promptly with photos, the original agreement and a clear description of what you expected. Stay factual and ask for a specific resolution. If a dispute continues, seek independent advice about your rights, as the right steps depend on your contract.

To reduce your risk, compare options on our mandaps page, build a shortlist in the compare tool and send one clear enquiry through our quote page so every detail is written down from the start. That makes mandap hire problems far less likely.

Quick answers

What if the mandap looks different from the photos?

Designs are shown as examples, so small differences in flowers, fabric or proportions can happen. Ask for the exact design, flower and colour details in writing, and request photos of the design set up elsewhere. Raise any concern before the day, not at the venue.

Who is responsible if the venue refuses access?

Responsibility depends on what each contract says, so check this before you pay. Get written confirmation from the venue of delivery times, routes and rules, and share it with the supplier. If a problem appears, contact both straight away rather than waiting.

What should I do if something is wrong on the day?

Stay calm and tell your named contact, who should speak to the supplier on site. Take clear photos, note the time and ask for a fix if one is possible. Keep your messages and written agreement, because they help if you need to follow up afterwards.

Can weather ruin an outdoor mandap?

Wind, rain and uneven ground can affect outdoor structures, so a backup plan matters. Ask the supplier how the design copes, whether it can be anchored safely, and what happens if the venue moves the ceremony indoors. Agree this in writing beforehand.
